Browsing data
The information systems and software procedures relied upon to operate this web site acquire personal data as part of their standard functioning; the transmission of such data is an inherent feature of Internet communication protocols.
This data category includes the IP addresses and/or the domain names of the computers and terminal equipment used by any user, the URI/URL (Uniform Resource Identifier/Locator) addresses of the requested resources, the time of such requests, the method used for submitting a given request to the server, returned file size, a numerical code relating to server response status (successfully performed, error, etc.), and other parameters related to the user’s operating system and computer environment.
These data are necessary to use web-based services and are also processed in order to:
- extract statistical information on service usage (most visited pages, visitors by time/date, geographical areas of origin, etc.);
- check functioning of the website.
Browsing data are kept for no longer than 5 years.
Data communicated by users
The optional, explicit and voluntary sending of emails, messages and any other type of communications, addresses or contact details indicated on this portal implies the subsequent acquisition of the sender’s e-mail address and any other personal data used to reply to requests. Specific summary information will be progressively provided or displayed on the relevant website pages for specific services.
Cookies and other tracking devices
No cookies are used to profile users nor are other user tracking systems implemented. So-called session (non-persistent) cookies are used exclusively to the extent this is necessary to enable secure, efficient browsing. Storage of session cookies in terminal equipment or browsers is under the user’s control, whilst cookie-related information is stored server-side after HTTP sessions in the service logs for no longer than the duration of the session.

The legal basis for the processing is founded, pursuant to art. 6.1.e) of the EU Regulation 2016/679, in the public interest tasks with which the University is invested.

The data will be processed exclusively by the staff and collaborators of the Alma Mater Studiorum – University of Bologna.
Rights of the data subject
Data subjects have the right to obtain from the Alma Mater Studiorum – University of Bologna, where appropriate, access to their personal data as well as rectification or erasure of such data or the restriction of the processing concerning them, and to object to the processing (pursuant to Articles 15 to 22 of the EU Regulation 2016/679).

Purposes and methods of processing
With this document we intend to provide you with all the information you need to subscribe to the newsletter of the OpenCitations project, conducted in the Department of Classical Philology and Italian Studies of the Alma Mater Studiorum – University of Bologna.
In particular, your personal data (name, surname, e-mail address) may be processed exclusively for the purposes set out below:
- to subscribe to the mailing list (newsletter).
Your data may be processed, if you authorize registration, in order to share useful information about updates and news on the OpenCitations project. To this end, your data will be included in a mailing list, which will allow you to receive by e-mail, automatically and free of charge, communications of subsequent institutional initiatives.
Should you consent to the processing for the aforementioned purposes, your data will be stored exclusively for the period in which the newsletter service is active.
Categories of recipients of personal data
The data will be processed by the staff and collaborators of the Data Controller and, where necessary to delegate specific tasks and functions, to third parties appointed as Data Processors, pursuant to art. 28 of Regulation (EU) 2016/679(e.g. for the technological maintenance of the site, for the management of webspaces, for the creation of photos or videos, as well as for the editing of videos),by companies/foundations that present sufficient guarantees to implement adequate technical and organizational measures so that your rights and regulatory requirements on the subject are guaranteed.
It should be noted that, again for the aforementioned purposes, the data subject to processing may be transferred to a country outside the European Union or to an international organization.
In particular, the data are processed through the use of Mailchimp, which is based in the United States and for whose transfer there is specific coverage pursuant to Articles 44 et seq. of Regulation (EU) 2016/679, certified by the presence of the provider’s services in the “data privacy framework list”(https://www.dataprivacyframework.gov).
Legal basis and nature of the provision of data
The legal basis of the processing is to be found, pursuant to art. 6, paragraph 1, letter e), of Regulation (EU) 2016/679,in the public interest tasks entrusted to the Data Controller, aimed at the processing, innovation, transfer and enhancement of knowledge.
The provision of data for the purposes referred to in point (I) is optional, i.e. it does not derive from a regulatory obligation, but is necessary so that you can be contacted with regard to subsequent projects/activities/events of an institutional nature.
Rights of the data subject
Without prejudice to the limitations on the exercise of the rights of the data subjects referred to in Articles 2-undecies and 2-duodecies of the Code regarding the protection of personal data, you, as a data subject, may exercise the rights recognized to you pursuant to and within the limits of Articles 15-21 of the Regulation, including the right to request access to your personal data, the rectification or deletion of the same, as well as the restriction of the processing of data concerning him/her, the objection to the processing and the portability of the data.
Requests relating to the exercise of these rights may be submitted to the Data Controller by contacting the administrator of the comms@opencitations.net newsletter or the Data Protection Officer.
Finally, if you believe that the processing of your personal data is in violation of the provisions of Regulation (EU) 2016/679 or Legislative Decree 196/03 as amended, you have the right to lodge a complaint with the Data Protection Authority, as provided for by art. 77 of the aforementioned Regulation, or to take legal action (Article 79 of the Regulation).
